Duties and Responsibilities

The Assistant Vice President, Advancement Operations & Campaign Planning (AVP) will report to the Vice President of University Advancement and serve as a member of the Loyola University Executive Leadership Team (ELT). The AVP oversees a business unit (Advancement Operations & Campaign Planning) comprised of the following functional units:
  • Campaign Planning
  • Information Services & Reporting
  • Prospect Management & Prospect Research
  • Data Integrity & Gift Processing
  • Gift Administration
  • Data Governance & Project Management
The AVP Advancement Operations & Campaign Planning will lead the Advancement Operations teams in achieving the next level of professional success, setting annual strategic priorities, leading and monitoring progress toward approved goals, and developing project work plans, timelines, and budgets.

The AVP will work closely with LUC colleagues as well as campus partners and is expected to establish high-functioning, collaborative relationships and model an approach to problem-solving and program enhancement that centers user experience. This opportunity will be fulfilling for an experienced leader in higher education advancement who approaches their work with initiative, creativity, and emotional intelligence and can build and motivate high-performing teams.

MAJOR RESPONSIBILITIES
  • Provides vision and leadership for Advancement Operations & Campaign Planning business unit. Sets annual strategic priorities for the business unit; leads and monitors progress toward the business unit's approved goals. Develops detailed project work plans, timelines, and budget. Maintains project assignments; monitors workloads and resources to meet project requirements. Provides dedicated leadership and management to a team of Advancement Operations & Campaign Planning professionals, with a focus on goal setting, performance management, and staff professional development within Advancement Operations & Campaign Planning functional units. Leads business unit to develop, document and train on processes and protocols.
  • Serves as the internal leader of a data-driven culture. Oversees the development and execution of reports for tracking and reporting on new commitments, projecting fundraising performance, assessing engagement, and other business needs. Monitors progress against annual fundraising and advancement goals, reporting on various performance metrics throughout LUC. Leads analytics and reporting efforts for LUC to ensure leadership and management are making business decisions backed by data, trends, and models.
  • Develops and oversees the business unit's functions and teams by establishing performance goals, metrics, and clarity with an awareness of contemporary privacy rules in terms of integration of data and sensitive information.
  • Creates efficiency and automation of transaction processing and reporting. Ensures effective deployment of technology supporting the operations. Engages in strategic planning; effectively utilizes financial investments and selects and implements tools to enhance workflow.
  • Partners closely with the Vice President for Advancement, the senior leadership team, academic leaders, and campus partners to plan and execute high-level goals and operational elements of a comprehensive campaign, including discrete campaign projects and institutional priorities within the comprehensive campaign. The AVP and the Campaign Planning function will serve as key partners with the VP and Executive Leadership Team to devise, manage, report on, and achieve the strategic goals of the campaign and vision for philanthropy at Loyola University Chicago throughout critical milestone goals that ensure successful completion.
  • Leads and provides strategic direction to the Prospect Management and Prospect Research function, ensuring its continued growth and success. Designs and builds a comprehensive program to identify, define, grow, evaluate, and track the prospect pool. Develops mechanisms and processes to facilitate the seamless movement of prospects through the development cycle, and manages the annual and campaign prospect pipeline, ensuring timely and effective processes for proactive and reactive assignments. Establishes and maintains best practice methodologies for research techniques, reporting templates, and all process documentation.
  • Provides leadership and supervision to the Data Integrity and Gift Processing function, and ensures all charitable contributions are recorded promptly and in compliance with IRS rules, CASE guidelines, and internal policies and procedures. Implements cutting-edge data maintenance techniques, including audits, automations, and data visualizations, to ensure the integrity, reliability, accuracy, and confidentiality of records.
  • Provides oversight of the Information Services & Reporting function, ensuring its continued growth and success. Supervises and partners closely with the university CIO to support the implementation of long-range strategic plans for Advancement's information technology systems, IT needs and activities, and data security. Maintains an in-depth understanding of stakeholders' business and proactively offers business process improvements and solutions to improve efficiencies. Provides oversight of CRM conversion in partnership with central Information Technology Operations teams.
  • Ensures successful management and completion of a large-scale CRM conversion by the Data Governance & Project Management function, including managing the scope, budget, and timeline of the conversion, ancillary product implementations, workflows, and timelines, and business process documentation, design codification, and systematic, structured training for tools, policy, and systems.
  • Works closely with the Gift Administration function by overseeing gift documentation (new gift agreements, and attestations for relevant previously undocumented gifts), and maintaining documentation and oversight of fund establishment and usage. Partners with the team to ensure that gifts, commitments and donor intent are appropriately documented and aligned with policy, process and regulatory controls, and that potential risks and concerns are identified and managed.

  • Stature, professional experience, and relationship building skills to engage, motivate, and support the Vice President for University Advancement, high-caliber administrative and academic leadership, staff, and colleagues.
  • Proven ability to expand and strengthen partnerships with administrative colleagues, superiors and supervised staff, ideally in a complex research-intensive higher education institution.
  • Demonstrated ability to facilitate communication across regarding multi-unit planning, budgeting, human resource and information technology opportunities for win-win partnerships across the University, resulting in a thorough and inclusive planning and execution process.
  • Deliberate agility, flexibility, and intellectual prowess to build alliances across the University.
  • Superb strategic vision and leadership and management experience, providing staff with the direction, motivation, and support needed to continually surpass ambitious goals.
  • Results-oriented professional comfortable with quantitative performance measurement with excess initiative and sound judgment.

  • Proven competence in developing and implementing management information tools, data mining, and data modeling that produce actionable findings.

  • Unquestioned integrity and sound judgment, as well as a sense of perspective.
  • Substantial direct experience with at least 8 years of fundraising management experience is required. Preferred candidate with a master's degree, or bachelor's degree, supplemented with demonstrated credentials and experience equivalent to 10-12 years.
