JOB SUMMARY: The Facilities Manager is responsible for all building-related activities across five program locations. The position is responsible for preserving the good condition of infrastructure and ensuring that all our facilities are safe and well functioning. The ideal candidate will be well-organized, efficient and resourceful with existing space and equipment, able to reduce operating costs, and have strong leadership skills.
We are seeking a customer service-oriented candidate who is ready to roll up their sleeves and do what it takes to ensure our staff and vulnerable guests are able to work and live in a clean, safe and comfortable environment.
ESSENTIAL JOB DUTIES:
Plan, coordinate and maintain all installations (telecommunications, heat, electricity etc.) and refurbishments.
Work with program leadership to ensure physical spaces meet the needs of our clients and promote a safe environment for all guests, staff, and visitors.
Supervise all facilities staff and/or contractors (custodians, technicians, groundskeepers etc.). Document regular supervision meetings with employees, assist them in developing work plans and oversee performance evaluations. Work closely with human resources to issue corrective action when needed.

Manage the upkeep of equipment and supplies to meet health and safety standards.
Inspect buildings’ structures regularly to determine the need for repairs or renovations.
Develop, implement, and maintain an agency disaster plan.
Train staff in building evacuation protocol.
Review utilities consumption and implement controls to minimize costs.
Work closely with IT contractors to ensure CFSF technology is maintained and that IT issues are resolved in a timely manner.
Complete repairs and maintenance tasks as needed at all sites.
Coordinate Capital purchases in accordance with the federal OMB requirements. Compile bids and submit proposals to appropriate leadership for approval.
Ensure Community Forward SF staff have appropriate and functioning work spaces according to needs.
Work with the Director of Housing to manage insurance plans to mitigate risk.
Manage Lease agreements for leased buildings.
Maintain physical inventory and tracking system for agency assets.
Keep financial and non-financial records.
Perform analysis and forecasting of building maintenance needs.
Ensure compliance with facility-related federal, state, county and city codes and permits.
Responsible for Fleet Management.
Other duties as assigned.
BACKGROUND & EXPERIENCE:
Proven experience as facilities manager or relevant position
Well-versed in technical/engineering operations and facilities management best practices
Knowledge of basic accounting and finance principles
Excellent verbal and written communication skills
Excellent organizational and leadership skills
Good analytical/critical thinking
BSc/BA in facility management, engineering, business administration or relevant field
Ability to interact favorably with contract providers and be able to represent programs in the community.
Thorough knowledge of community resources.
CPR and first aid certification within 90 days of hire.
