Job Description:


Budget Title: Staff Assistant (SL-2)

Salary: $47,261

The Binghamton Student Support Services (SSS) Program is modeled after Binghamton University's successful TRIO SSS Program, a college retention program funded by the United States Department of Education. This new, institutionally-funded program seeks to demonstrate that earning a quality education and achieving life-long success is not limited by financial status, background, or disability. Our Bing SSS program aims to increase retention and graduation of first-generation and/or low-income (FGLI) students and/or students with disabilities.

Bing SSS is seeking a Coordinator who is committed to this mission and assists staff with essential day to day operations.

The Coordinator is under general supervision of the Associate Director for SSS. All SSS programs are housed within the Division of Student Affairs.

Administration Coordination/Organization
  • Assist with the preparation and submission of grant applications
  • Create and maintain a database to track program graduates using National Clearinghouse and other forms of contact
  • Assist and maintain records to ensure the meeting of the USDA-Summer Food Program
  • Submit professional staff and student assistant hiring paperwork; approve student timesheets by required deadlines; complete and submit quarterly time and effort reports
  • Assist with the management of the Senior Director's Calendar
  • Providing liaison between the Director/Department Chair and the professional staff of institution with respect to administrative matters
  • Gathering research and statistical data as requested
  • Supervising Graduate Assistants, Teaching Assistants and/or Student Interns
  • Booking student and staff travel
Financial Management
  • Assist in planning, creating, maintaining, and monitoring program budget
  • Develop and perform routine monthly reconciliation and analysis for internal and external purposes
  • Prepare and track purchase orders, invoices, vouchers, student stipends, travel requisitions and P-card requisitions
Collaboration and Communication
  • Participate in weekly team meetings
  • Compile information and announcements for listserv newsletter
  • Coordinate logistical arrangements for all programming and activities such as workshops, large-scale events (such as TRIO Day, Senior Recognition, SSSemester Kickoff, etc.), meetings, professional staff and student position interviews, conferences, field trips, and summer programs
  • Educate newcomers or interested students about the SSS Program (and provide guidance on how to apply via our website)
  • Ensure confidentiality of student information following the federal Family Education Rights and Privacy Act (FERPA), financial aid guidelines, and college regulations
  • Provide outstanding customer service to program participants, parents, and staff including external stakeholders
  • Maintain bulletin board and storage room inventory

Requirements:


Visa sponsorship is not available for this position
  • Bachelor's Degree and two years of responsible work experience
  • Ability to build rapport and sustain relationships with students and staff
  • High level of interpersonal communication, problem-solving, time management and organizational skills
  • Highly skilled in Microsoft Excel/Google Sheets
  • Proficiency in Microsoft Office/Google Workspace especially in Word/Docs PowerPoint/Slides, and Google Forms
  • Excellent time management and well organized
  • Attention to detail
  • Ability to work independently and on a team
  • Ability to maintain a welcoming and student-friendly environment
  • Demonstrated ability to use, maintain, and manage databases and student information systems
Preferred:
  • Experience and comfort working with diverse student populations, including but not limited to First-Generation, Low-Income (FGLI) students and underrepresented students
  • Professional or personal experience in overcoming barriers similar to those confronting project participants is a plus
